Who we are
This site is operated by Village Water Filters (Pty) Ltd, registration number 2021/323 353/07, registered at 3 Schoongezicht Road, Northcliff, Johannesburg, 2179.
We sell water filters to households and institutions in South Africa. This policy explains what personal information we collect when you use this site, why we collect it, and what you can ask us to do with it. You can reach us at hello@villagewaterfilters.co.za or 076 484 8162.
Our Information Officer, as required by the Protection of Personal Information Act, is Cathrine Shuenyane.
What we collect
We only collect what we need to sell you a filter and get it to you.
When you place an order
- Your name, delivery address, email address and phone number
- What you ordered, what you paid, and any discount code you used
- Your order history, so we can answer questions about past orders
We never see or store your card number. Payment is handled on the payment provider’s own system, and all we receive back is whether the payment succeeded.
When you contact us
- Your name, email address and, if you give it, your phone number
- What your enquiry is about and whatever you write in the message
When you create an account
An account is optional. You can check out as a guest. If you do create one, we store your email address, your password in an encrypted form we cannot read, and the addresses you save.
Automatically
Our hosting keeps standard server logs, which include IP addresses, for security and troubleshooting. We do not run analytics, advertising trackers or social media pixels on this site, and the fonts are served from our own server rather than a third party.
Why we use it
- To take payment, pack your order and deliver it
- To confirm the order and tell you when it has been sent
- To answer your questions and handle returns, refunds and guarantee claims
- To keep the records that tax and company law require us to keep
- To check that a discount code has not already been used
We do not sell your personal information, and we do not share it with anyone for their own marketing. We will only send you marketing email if you have asked us to, and every such email has an unsubscribe link.
Who we share it with
Only the businesses that help us complete your order, and only with what they need to do their part.
- Payment providers. Whichever gateway you choose at checkout receives your payment details directly. They handle the card data; we do not.
- Delivery companies. The courier receives the name, address and phone number needed to deliver the parcel.
- Our hosting provider. The site and its database sit on their servers.
We may also disclose information where the law requires it, or where we need to establish or defend a legal claim.
Cookies
The cookies this site sets are the ones a shop needs to work. They remember what is in your cart while you browse, keep you signed in if you have an account, and carry a discount code from the cart to the checkout. Without them the shop cannot function.
We set no advertising or tracking cookies. You can block or delete cookies in your browser settings, but if you block ours the cart will empty as you move between pages.
How long we keep it
- Order and invoice records: five years, which is the period South African tax law requires.
- Contact form enquiries: until the enquiry is resolved and for a reasonable period afterwards in case you come back to us about it.
- Account details: for as long as your account is open. Ask us to close it and we will delete what we are not legally required to keep.
Your rights
The Protection of Personal Information Act gives you the following rights over the information we hold about you. Exercising them is free, and we will respond as quickly as we reasonably can.
- Ask what personal information we hold about you, and get a copy of it
- Ask us to correct anything that is wrong or out of date
- Ask us to delete information we no longer have a reason to keep
- Object to us using your information for a particular purpose
- Withdraw your consent to marketing at any time

How we protect it
The site is served over an encrypted connection, so what you type into it cannot be read in transit. Passwords are stored in a form that cannot be reversed, and access to order records is limited to the people who need it to run the business.
No system is completely secure. If a breach ever affects your personal information, we will notify you and the Information Regulator as the law requires.
Children
This shop is intended for adults. We do not knowingly collect personal information from children. If you believe a child has given us their details, contact us and we will remove them.
Changes to this policy
If we change how we handle personal information, we will update this page and change the date at the bottom. Material changes will be brought to your attention rather than made quietly.
Complaints
If you are unhappy with how we have handled your personal information, please tell us first at hello@villagewaterfilters.co.za so that we can put it right.
You also have the right to complain to the Information Regulator of South Africa, which oversees the Protection of Personal Information Act. Their current contact details are published on their own website.
